Cancellation & Refund Policy

At Eureka, we understand that circumstances may change and participants may occasionally need to cancel or change their workshop registration.
This Cancellation & Refund Policy explains the conditions that apply to cancellations, refunds, transfers, workshop changes, and cancellations made by Eureka.
By registering and paying for an Eureka workshop, programme, event, or professional development service, you acknowledge and agree to this policy.
01.General Policy
Workshop places are reserved once registration and payment have been confirmed.
Because Eureka commits resources in advance to facilitators, technology, venues, administration, materials, and programme preparation, refund eligibility depends on how far in advance a cancellation request is received.
Unless different conditions are clearly stated for a particular workshop or programme, the following standard policy applies.
02.Participant Cancellation
If you need to cancel your registration, you must notify Eureka in writing using the official contact details provided on our website.
Refund eligibility is calculated according to the date Eureka receives the cancellation request.
14 Days or More Before the Workshop
If Eureka receives your cancellation request 14 calendar days or more before the workshop start date:
- 100% of the workshop fee will be eligible for refund.
- Any non-refundable banking, transfer, currency-conversion, or third-party payment-processing charges actually incurred may be excluded where permitted by applicable law.
- Alternatively, you may request to transfer the full amount paid to another eligible Eureka workshop.
7–13 Days Before the Workshop
If Eureka receives your cancellation request between 7 and 13 calendar days before the workshop start date:
- 50% of the workshop fee will be eligible for refund.
- Alternatively, Eureka may allow the participant to transfer the registration to another eligible Eureka workshop, subject to availability and the conditions described below.
Less Than 7 Days Before the Workshop
If Eureka receives the cancellation request less than 7 calendar days before the workshop begins, the workshop fee will normally be non-refundable.
However, Eureka may, at its discretion, allow:
- Transfer to another eligible workshop;
- Transfer of the registration to another participant; or
- Credit toward a future Eureka programme.
Such arrangements are subject to availability and approval by Eureka.

Any mandatory rights available under applicable law remain unaffected.
04.No-Shows
A participant who does not attend a confirmed workshop and has not submitted an eligible cancellation request will be considered a no-show.
No refund will normally be provided for a no-show.
This includes circumstances where a participant:
- Forgets the workshop date;
- Does not attend;
- Is unavailable at the scheduled time;
- Does not join an online workshop;
- Arrives after a substantial part of the workshop has been completed; or
- Leaves without completing the required programme.
Eureka may consider exceptional circumstances at its discretion, subject to applicable law.
05.Registration Transfer to Another Participant
If you are unable to attend, Eureka may allow you to transfer your registration to another eligible participant.
Requests should be submitted as early as possible and normally no later than 48 hours before the workshop.
The replacement participant must provide all required registration information.
Transfers may not be possible where:
- The programme has specific eligibility requirements;
- Certificates or personalised materials have already been prepared;
- A partner organisation does not permit substitutions;
- Access credentials cannot reasonably be changed; or
- Other programme-specific restrictions apply.
No additional fee will normally be charged for a standard participant substitution unless additional costs are incurred.
06.Transfer to Another Eureka Workshop
Instead of cancelling, participants may request to transfer the amount paid to another eligible Eureka workshop.
Transfers are subject to:
- Availability;
- Programme eligibility;
- Workshop dates;
- Applicable price differences; and
- Eureka's approval.
If the replacement workshop costs more than the original workshop, the participant must pay the difference.
If the replacement workshop costs less, any difference will be handled according to the conditions agreed at the time of transfer and applicable law.
A transferred registration normally cannot be transferred repeatedly.
07.Workshop Credit
Where Eureka offers workshop credit instead of a refund, the credit:
- Will normally be equal to the amount approved by Eureka;
- May be used toward another eligible Eureka programme;
- Must be used within the validity period communicated by Eureka;
- Cannot normally be exchanged for cash after acceptance unless required by law; and
- May be subject to programme availability.
The participant will be informed of any specific conditions before accepting the credit.
08.Cancellation by Eureka
Eureka reserves the right to cancel a workshop where necessary because of circumstances such as:
- Insufficient participant numbers;
- Facilitator illness or unavailability;
- Venue problems;
- Technical problems;
- Safety or security concerns;
- Travel disruption;
- Government restrictions;
- Force majeure; or
- Other circumstances that make delivery impractical.
If Eureka cancels a workshop, registered participants will normally be offered a choice between:
- A 100% refund of the workshop fee paid;
- Transfer to another Eureka workshop; or
- Full credit toward a future Eureka programme.
No administrative cancellation fee will be charged where Eureka cancels the programme.
09.Rescheduling by Eureka
Eureka may occasionally need to change a workshop date or time.
Where a workshop is rescheduled, participants will be informed as soon as reasonably possible.
Participants may normally choose to:
- Attend the rescheduled workshop;
- Transfer to another eligible Eureka workshop; or
- Request an appropriate refund where the rescheduled date cannot reasonably be attended.
The circumstances of the rescheduling and applicable consumer rights will be considered.
10.Change of Facilitator
A change of facilitator does not automatically constitute cancellation of a workshop.
If the originally scheduled facilitator becomes unavailable, Eureka may appoint another appropriately qualified facilitator.
Where the workshop's overall purpose, content, and professional learning outcomes remain substantially unchanged, the standard participant cancellation policy will continue to apply.
11.Changes to Workshop Content
Eureka may make reasonable adjustments to:
- Learning activities;
- Resources;
- Session order;
- Examples;
- Workshop timings; or
- Programme content
where necessary to improve programme quality or respond to participant needs.
Minor or reasonable programme adjustments do not normally entitle a participant to a refund.
Where Eureka makes a substantial change that materially alters the nature of the purchased programme, participants will be informed of the available options.
12.Online Workshops and Technical Difficulties
Participants attending online workshops are responsible for ensuring that they have:
- Reliable internet access;
- A suitable device;
- Working audio;
- Appropriate software;
- Access to the required online platform; and
- A suitable environment for participation.
Refunds will not normally be provided where a participant cannot attend because of problems with their own:
- Internet connection;
- Computer;
- Mobile device;
- Software;
- Electricity supply;
- Audio or camera; or
- Local technical environment.
If a significant technical failure on Eureka's side prevents the workshop from being delivered, Eureka may:
- Reschedule the affected session;
- Provide an alternative session;
- Provide programme credit; or
- Issue an appropriate refund.
13.Failure to Attend Part of a Workshop
Participants are responsible for attending the full programme where full attendance is required.
No partial refund will normally be provided because a participant:
- Arrives late;
- Leaves early;
- Misses part of the workshop;
- Has another appointment;
- Experiences personal scheduling conflicts; or
- Chooses not to complete the programme.
Missing required sessions may also affect eligibility for a certificate.
14.Certificates
Payment for a workshop does not by itself guarantee issuance of a certificate.
Where certificates are offered, participants may be required to meet conditions such as:
- Required attendance;
- Active participation;
- Completion of programme activities;
- Submission of required tasks or evaluations; and
- Full payment.
A participant who does not meet the stated certificate requirements is not normally entitled to a refund solely because a certificate cannot be issued.
15.Workshop Materials
Where digital materials, restricted resources, recordings, or other paid programme content have already been made available to a participant, this may be taken into account when assessing cancellation or refund eligibility, where permitted by applicable law.
Participants remain responsible for complying with Eureka's intellectual property requirements after cancellation.
16.Promotional and Discounted Registrations
Registrations made using:
- Early-bird discounts;
- Promotional codes;
- Scholarships;
- Special campaigns;
- Group discounts; or
- Institutional offers
may have additional conditions.
Unless otherwise stated, refunds are calculated based on the amount actually paid, not the standard advertised price.
Any programme-specific restrictions will be communicated before payment where applicable.
17.Group and Institutional Bookings
Schools and organisations registering multiple participants may be subject to separate cancellation conditions stated in:
- A quotation;
- Proposal;
- Contract;
- Invoice;
- Service agreement; or
- Written confirmation.
Where separate institutional cancellation conditions have been agreed, those conditions will apply to that booking.
18.Consultancy Services
Educational consultancy, customised school training, and institutional services may involve substantial preparation before the delivery date.
Cancellation and refund arrangements for these services will normally be set out in the relevant:
- Proposal;
- Contract;
- Scope of work;
- Quotation; or
- Consultancy agreement.
Where a specific written agreement exists, its cancellation provisions will apply.
19.Duplicate or Incorrect Payments
If a participant accidentally makes a duplicate payment or pays more than the required amount, they should contact Eureka promptly.
Once the duplicate or excess payment has been verified, Eureka will arrange the appropriate refund.
20.Failed or Unverified Payments
Uploading a payment screenshot or transaction reference does not by itself confirm that payment has been received.
A registration remains subject to payment verification.
Where:
- A transaction fails;
- Payment is reversed;
- The amount received is incomplete; or
- Eureka cannot verify the transaction,
Eureka may contact the participant for additional information before confirming the registration.
Participants should never provide passwords, PINs, card security codes, or online banking credentials.
21.Instapay and Bank Transfer Refunds
Where the original payment was made through Instapay, bank transfer, or another manual payment method, Eureka may request appropriate information needed to process the refund securely.
Where reasonably possible, refunds will be made to the original payer or payment source.
Eureka will never request:
- Banking passwords;
- PIN numbers;
- One-time passwords;
- Card security codes; or
- Online banking login credentials
for the purpose of processing a refund.
22.Refund Processing Time
Once a refund has been approved, Eureka will normally initiate the refund within 7–14 business days.
The time required for the funds to appear in the participant's account may depend on:
- The bank;
- Payment provider;
- Payment method;
- International transfer requirements; or
- Other processing factors outside Eureka's control.
Participants will be informed if additional information is reasonably required to complete the refund.
23.Currency and International Payments
Where payments are made in a currency different from the participant's local currency, Eureka is not responsible for changes caused by:
- Currency exchange rates;
- Bank conversion rates;
- International transfer charges; or
- Third-party payment-provider fees.
Refunds will normally be calculated based on the amount and currency originally received by Eureka, subject to applicable law.
24.Exceptional Circumstances
Eureka recognises that serious unexpected circumstances can occur.
Requests involving circumstances such as:
- Serious illness;
- Family emergencies;
- Bereavement;
- Significant travel disruption; or
- Other exceptional events
may be reviewed individually.
Eureka may request reasonable supporting information where appropriate.
Approval of an exception is at Eureka's discretion unless a refund or other remedy is required by applicable law.
25.Force Majeure
If a programme cannot proceed as planned because of events outside Eureka's reasonable control, including:
- Natural disasters;
- War;
- Civil unrest;
- Government restrictions;
- Severe weather;
- Epidemics or pandemics;
- Travel restrictions;
- Major infrastructure failure;
- Security concerns; or
- Similar exceptional circumstances,
Eureka will make reasonable efforts to provide an alternative arrangement.
This may include:
- Rescheduling;
- Online delivery;
- Transfer to another programme;
- Programme credit; or
- Refund where appropriate.
Any mandatory rights under applicable law remain unaffected.
26.How to Request a Cancellation or Refund
Cancellation and refund requests should be submitted through Eureka's official contact channels.
Please include:
- Full name;
- Email used during registration;
- Workshop name;
- Workshop date;
- Payment date;
- Payment reference where available; and
- Reason for the request.
Eureka may request additional reasonable information to verify the registration and payment.
Cancellation timing will be based on when Eureka receives the written request.
27.Refund Approval
Submitting a refund request does not automatically mean that a refund has been approved.
Eureka will review the request according to:
- This policy;
- The workshop-specific conditions;
- The date of cancellation;
- Services already supplied;
- Any separate written agreement; and
- Applicable law.
The participant will be informed of the outcome after the request has been reviewed.
28.Consumer Rights
Nothing in this Cancellation & Refund Policy is intended to exclude, restrict, or override any mandatory rights available to a consumer under applicable law.
Where a provision of this policy conflicts with a mandatory legal requirement, the applicable legal requirement will prevail.
29.Changes to This Policy
Eureka may update this Cancellation & Refund Policy periodically.
The version applicable to a registration will normally be the version made available at the time of the relevant booking, except where a change is required by law or provides greater rights to the participant.
The latest version will always be available on the Eureka website.
